Here is an illustration that explains the process:
Document Legalization
Before getting stared, it’s important to note that Bahrain and Oman are both members of the Hague Apostille Convention. Document destined for these countries can only be apostilled by the State office (Example: New York Apostille for Oman). The most common countries we process diplomas and transcripts are for Italy, Spain, South Korea, Qatar, United Arab Emirates (UAE), Saudi Arabia, Mexico, Venezuela, China, Vietnam and more!  Countries who are members of the Hague Apostille Convention only require the State apostille.  Please note that the apostille is issued from the Secretary of State’s office.  For countries who are not members, your documents will require State certification, US Department of State certification, and Embassy or Consulate legalization.

Our trained and knowledgeable staff in Washington, D.C. have processed thousands of diplomas and transcripts through the U.S. Department of State and Embassy or Consulate offices.  We have the knowledge and experience to process your documents quickly saving you time, money, and the frustration of dealing with several Government offices.

  1. Universities
  2. Colleges
  3. Trade Schools
  4. State Issued Certificates (Example: Board of Accountancy)
  5. High School
  6. Middle Schools

A diploma notarized by the institutions Registrar must first be certified from the Secretary of State’s office before it can be mailed in to our Washington, D.C. office for processing.  Please beware of apostille service companies who will re-notarize and apostille your diploma and transcripts from a State other than the institution is located in.  Example: A New York certification on a University of California diploma.

For countries who are not members of the Hague Apostille Convention, your documents will require multiple steps to complete.  These steps are State certification, US Department of State certification, an Embassy or Consulate legalization. Note: Some countries may only require your diploma and transcripts to be processed through the State and Embassy or Consulate office.  Please, call us for instructions, cost, processing time, and order forms.

The very first step is to contact the institutions Registrar.  The Registrar will need to meet with a notary and have your documents notarized.  If the institution does not have a notary on staff, you can hire a traveling notary to meet with the Registrar.  From our experience, the registrar will do one of the following:

  1. Notarize the original diploma and transcripts. (Best choice and requirement for Qatar).
  2. Notarize a color copy of the original diploma and the original transcripts.
  3. Sign and notarize a letterhead and attach it to the original diploma or a color copy of the original diploma.

Apostille Death Certificate

Apostille Death CertificateDo you need an apostille on a Death Certificate?

At International Apostille Services, Inc., we take the guesswork out of getting an apostille on your documents.  We can apostille death certificates issued from all 50 US States including the District of Colombia (Washington, D.C.)  If you have a death certificate issued from another country, you will need to contact someone in that country for assistance.  We can only assist you with documents originating from the USA and for another country (Example: California birth certificate for Mexico).

Because of the unique requirements of each US State, we recommend that you mail in the death certificate to our office for processing.  Please note that we have nine offices throughout the United States and each office caters to a handful of States.  It’s important to mail in your document to the correct office in order to avoid any delays or additional costs.  Once we receive your document, we will review it and contact the State office for verification.  If the State office rejects your documents, we will contact you with instructions.

Common reasons why you will need an apostille on a death certificate:
1. Transfer of assets  (Example: Inheritance, Gift, etc..)
2. Selling a property (Example: Selling a property in Mexico)
3. Registering the death in another country other than the USA
4. Bank accounts (Example: Closing bank accounts / transferring assets)

If the requesting country is a member of the Hague Apostille Convention, you will be required to provide a Death Certificate with an Apostille attached. The Apostille helps authenticate the document for acceptance in the other country.  Be sure to check the death certificate for accuracy before mailing in the document to our office.

Death Certificates issued by a State must be authenticated from the same State. For example, if the person passed away in the State of California, the California Death Certificate must receive the apostille from the California Secretary of State. There is no exception to this rule.  Please be careful of companies who want to process the certificate from a State other than the one that issued the document.

Not all death certificates issued from the State can be processed from the State.  For example, in the State of California, a death certificate can only be apostilled if the certificate is issued by the State Registrar or County Clerk’s office.  Some States will not apostille the certificate if it’s more than 12 months old while others require the certificate to be no more than six years old.  Every U.S. State has specific requirements.

The very first step is to contact our office.  Our trained and knowledgeable staff are available Monday – Saturday from 8am to 7pm to answer your questions and provide you easy to follow step-by-step instructions.

Obtaining an apostille can be complicated. Don’t leave this process to untrained employees or non-professionals who do not fully understand the Apostille process and the unique requirements of certain countries. Your paperwork could be rejected costing you time and money. Don’t let this happen to you!
