An FBI background check must be issued within the past 90 days and it also must receive an apostille through the US Department of State in Washington, D.C.  Some countries may request for your FBI background check to be issued within the past 30 days.   An FBI background check can only be processed through the U.S. Department of State in Washington, D.C.  Because this document is a U.S. Federal document, it cannot be processed through any Secretary of State office nor can it be notarized by a state notary.  Our office in Washington DC can apostille this document quickly saving you time and money.

The first step is to contact an approved FBI Channeler to assist you in obtaining your FBI background check.  We can provide you a recommend list of FBI channelers when you contact our office and speak to one of our agents. You can also utilize the live chat feature during regular business hours.

If you receive your FBI background check in a digital format (PDF copy), go ahead and e-mail it to us with the completed order form and payment.  If you receive your FBI background by regular mail (Hard copy), go ahead and mail it to our Washington DC office with our order forms (see below).  We can process a digital PDF copy or a hard copy.  It’s your choice.

Apostille a Divorce Decree

Do you need to apostille a Divorce Decree?

Are you planning to get married in a foreign country?  Were you recently divorced and need to file your paperwork in a foreign country?

In order to apostille your divorce decree, you must mail in the original or a certified copy issued by the Court.  In some States, this Court can also be called the Family Court, Superior Court, County Court, and Circuit Court.

Divorce decrees can only be authenticated from the State of issue.  The Secretary of State does not have the authority to authenticate documents issued from another State. For example, if your divorce decree is from the State of California, the State of California is the only State that can issue the California apostille.  Another example is if your marriage certificate is from Florida, only the State of Florida can issue the Florida apostille.

If you had hired an attorney to help you with your divorce, your attorney should have supplied you with a certified copy of your divorce decree.  If not, your attorney can obtain one from the court and overnight it to your location or recommend a service who can obtain a certified copy from the court directly.

Not every divorce decree can qualify for an apostille.  Some States have set time limits on how old a certificate can be.  For example, divorce decrees issued from the State of Virginia can not be older than 12 months. We recommend that you mail in the documents you currently have for review.  If the State rejects your document, we will contact you with instructions.

Please be sure your certified divorce decree is signed and stamped by the Clerk of the Court.  The certified copy should also have an embossment (raised seal) or a Court stamped color seal.

Marriage License Apostille

Do you need to apostille a marriage license?

At USA Apostille, Inc., we take the guesswork out of obtaining an apostille on your Washington DC marriage license.  We can apostille marriage licenses issued from the District of Columbia (Washington DC) and all 50 states.  Please note: Marriage certificates must be certified copies issued by the US Superior Court for the District of Columbia and have the triple seal.

Passport Apostille

Do you need to apostille a Passport?

To help expedite the process of obtaining an apostille on your passport, a color copy of the passport can be signed and notarized in any state.

  • Step 1: Make a color copy of your passport and meet with a local notary public.
  • Step 2: Sign the color copy and have the notary notarize your signature on the document.  The notary will sign, stamp, and add the proper notarial wording.
  • Step 3: Mail in your original notarized document and our completed order forms for processing.  Please do not mail in the original passport.

We can apostille a color copy of any notarized passport including passports from India, UK, Mexico, Switzerland, Argentina, Philippines, the Netherlands, and China.  If you have a passport, we can apostille it!

For most countries, they will only request the color copy of the page with your picture and information to be signed and notarized.  Some countries may request for you to color copy the entire passport (all pages) and only have the page with your picture and information to be signed and notarized.  Please double check with the requesting country in order to avoid any delays or additional costs.

Note: Please do not mail in the original passport to our Washington DC office.

In order to apostille your Passport, you must mail in the original notarized color copy to our office for processing.  We can apostille a color copy of your passport signed and notarized in any state.  If you are outside of the USA, we recommend that you contact the local U.S. Embassy or U.S. Consulate office to schedule a time to meet with a U.S. Federal notary to notarize the color copy.  If you do go to a US Embassy or US Consulate in a foreign country to notarize the color copy, you can then mail in the notarized color copy to our Washington DC apostille office for processing.

If you are in the United States, we recommend that you find a notary public who has at least five years of experience and one who will follow the notarial laws of their State. Please sign your document in front of the notary public. The notary will then stamp, sign, and add the proper notarial wording.

In addition to our California apostille services, we can apostille documents notarized in any state.  United States Apostille

Some States require a notarized document to also be authenticated by the County Clerk.  These States include: Hawaii, Kentucky, Maryland, New York, and Tennessee.  We can handle all the steps necessary including authenticating your document through the County (if required) and the state apostille.

Travel Consent Letter Apostille

Do you need to apostille a Travel Consent Letter?

The purpose of signed and notarized travel consent letter is to allow your minor child to travel outside of the Country with another person (For Example: Father, Mother, Grandparents, Aunt, Uncle, etc..).  You can obtain a travel consent letter from the airline, cruise ship, travel agency, or you can find a sample online.  Basically, the letter will State that you are giving permission to one or more people to take your child outside of the country.  The letter should include travel dates, your name, the name of the child, the person the child will travel with, the country the child will travel too, passport numbers, and the return date.  You will want to put as much information as possible include airline information.

The travel consent letter will need to be signed and notarized by the person giving permission.  Once the document has been notarized, it can then be mailed in to our apostille office for processing.  You will need to download our apostille order forms and mail in your original notarized document to our office for processing.  We recommend that you find a notary who has at least five years of experience and one who will follow the notarial laws of their state.  Improperly notarized travel consent letters will be rejected by the State causing delays and additional costs.

Question: Do you have a sample of a travel consent letter?

Answer: All airlines and cruise ships can provide you a sample of a travel consent letter.  You can also search online for a sample but please double check that the information you print on the travel consent letter is the information being requested.  The letter should include travel dates, your name, the name of the child, the person the child will travel with, the country the child will travel to, passport numbers, and the return date.  You will want to put as much information as possible include airline information.

New York Birth Certificate Apostille for Israel

Do you need to apostille your New York birth certificate for Israel?

The most common documents we can apostille from our NYC apostille office are: Birth certificates, marriage certificates, divorce decrees, death certificates, notarized documents, national archives records, diploma and transcripts, background checks, and more!

New York is the only state that requires County Clerk issued documents to also be certified by the County Clerk (Exemplification) before the NY Department of State will attach the apostille.  95% of all documents received at our NYC office will require this two-step process.

There are 62 Counties in NYC.  Most of the documents received at our NYC apostille office originate from the following Counties: The most popular Counties we receive documents from are: Kings County (Brooklyn), Queens CountyNew York County (Manhattan), Suffolk County (Long Island), Bronx CountyNassau County (Long Island), Westchester County, and Richmond County (Staten Island).

Tax Residency Apostille

Do you need an apostille on a Tax Residency Certificate?

U.S. treaty partners require the IRS to certify that the company or person claiming treaty benefits is a resident of the United States for the federal tax purposes. The IRS provides this residency certification on Form 6166.  This letter is typically referred to U.S. Residency Certification.

Form 6166 is a letter printed on U.S. Department of Treasury stationary certifying that the company or person is a resident of the United States for purposes of income tax laws of the United States. You may use this form to claim income tax treaty benefits and certain other tax benefits in foreign countries.

If you are planning to teach in a country who has a tax treaty with the United States, you can possibly avoid being taxed twice.  We recommend that you contact the IRS to know if the country has a tax treaty with the United States.

Many business set up representation in foreign countries in order to conduct business in that country.  If the country has a tax treaty with the United States, the individual or company must provide proof to the foreign government in order to qualify for the reduced tax rate.  Form 6166 is also used to claim exemption from a VAT (Value Added Tax) imposed by a foreign country.

Tax treaties may allow residents of foreign countries to be taxed at a reduced rate.  This helps prevent double taxation or a reduction in taxes owed.

In order to obtain an apostille on Form 6166, you must first obtain this document by completing form 8802.  It is estimated that you will receive this form in a few weeks from the IRS.  Once you have received the form printed on the Department of Treasury stationary, you can then mail-in this letter to our Washington, D.C. office for processing through the U.S. Department of State.

Social Security Apostille

Do you need to apostille your Social Security Letter?

The Social Security Benefits and Income Statement is a U.S. Federal Government document issued by the Social Security Administration.  You will be asked to apostille this letter in order to obtain a long term retirement Visa in a foreign country.

In order to obtain this letter, Contact the local Social Security Administration office and mention that you need the Social Security Income and Benefits Statement letter signed by the Acting Commissioner of the Social Security Administration. The letter will bear a facsimile of the signature of the Acting Commissioner which is sufficient for processing. Please note, that if your letter is NOT signed by the Acting Commissioner of the Social Security Administration, it CANNOT be apostilled.

FDA Apostille

Do you need to apostille a document from the FDA?

University Diploma Apostille

Do you need to apostille your University diploma?

Before your diploma can receive an apostille from the State,  it must be signed by the University’s Registrar and notarized.  The purpose of the apostille is to prove that your diploma is genuine and can be relied on it’s authenticity.

USA Apostille, Inc. can apostille your diploma for over 115 countries who are members of the Hague Apostille Convention and for over 60 countries who are non-members of the Hague Apostille Convention (Legalization process).  The most common countries we apostille diplomas are for South Korea, Spain, and Italy.  For non-member countries, they include China, Taiwan, Kuwait, Qatar, Saudi Arabia, and the UAE.

Note: In additional to your diploma, you will most likely need to apostille your FBI background check.

Step #1: The first step is to contact the University’s Registrar and inform the Registrar that you will need the original or a color copy of your diploma to be signed and notarized.  The Registrar with either ask you to mail in the original or email a color copy. Some University’s may request that you purchase a new diploma which can take time to reproduce. If the University does not have a notary on staff, a traveling notary can visit the school and meet with the Registrar.  You can search online and arrange for a traveling notary service when it’s convenient for the Registrar.  Note: Most notaries are unfamiliar with authenticating a diploma (apostille) for a foreign country so it’s best to leave the apostille process to us.  The notary must follow the proper notarial laws of their state in order for the state office to authenticate the diploma with an apostille.

Step #2: Once you receive your notarized diploma, go ahead and verify that the diploma has been signed and notarized.  Some schools will sign and notarize the back of the diploma while others have enough space to use the front.  The original signature and the printed name of the Registrar must be on the documents including the notary’s name, signature, date of notarization, notarial wording, and stamp.
