Marriage License Apostille

Do you need to apostille a marriage license?

In order to apostille your marriage certificate, you must mail in a certified copy issued by the US Superior Court for the District of Columbia and it must have the triple seal.  Marriage certificates can only be authenticated from the State of issue.  The Secretary of DC does not have the authority to authenticate documents issued from another State. For example, if your marriage certificate is from the State of California, the State of California is the only State that can issue the California apostille.  Another example is if your marriage certificate is from New York, only the State of New York can issue the New York apostille.

Please me sure to mail in a certified copy issued by the US Superior Court for the District of Columbia and it must have the triple seal.  If your marriage certificate is from another state, please click here: United States Apostille.  Some States have set time limits on how old a certificate can be.  For example, marriage certificates issued from the State of Virginia must be issued within the past 12 months. We recommend that you mail in the certificate you currently have for review.  If the State rejects your document, we will contact you with instructions.

Passport Apostille

Do you need to apostille a Passport?

To help expedite the process of obtaining an apostille on your passport, a color copy of the passport can be signed and notarized in any state.

  • Step 1: Make a color copy of your passport and meet with a local notary public.
  • Step 2: Sign the color copy and have the notary notarize your signature on the document.  The notary will sign, stamp, and add the proper notarial wording.
  • Step 3: Mail in your original notarized document and our completed order forms for processing.  Please do not mail in the original passport.

We can apostille a color copy of any notarized passport including passports from India, UK, Mexico, Switzerland, Argentina, Philippines, the Netherlands, and China.  If you have a passport, we can apostille it!

For most countries, they will only request the color copy of the page with your picture and information to be signed and notarized.  Some countries may request for you to color copy the entire passport (all pages) and only have the page with your picture and information to be signed and notarized.  Please double check with the requesting country in order to avoid any delays or additional costs.

Note: Please do not mail in the original passport to our Washington DC office.

In order to apostille your Passport, you must mail in the original notarized color copy to our office for processing.  We can apostille a color copy of your passport signed and notarized in any state.  If you are outside of the USA, we recommend that you contact the local U.S. Embassy or U.S. Consulate office to schedule a time to meet with a U.S. Federal notary to notarize the color copy.  If you do go to a US Embassy or US Consulate in a foreign country to notarize the color copy, you can then mail in the notarized color copy to our Washington DC apostille office for processing.

If you are in the United States, we recommend that you find a notary public who has at least five years of experience and one who will follow the notarial laws of their State. Please sign your document in front of the notary public. The notary will then stamp, sign, and add the proper notarial wording.

Some States require a notarized document to also be authenticated by the County Clerk.  These States include: Hawaii, Kentucky, Maryland, New York, and Tennessee.  We can handle all the steps necessary including authenticating your document through the County (if required) and the state apostille.

Travel Consent Letter Apostille

Do you need to apostille a Travel Consent Letter?

The purpose of signed and notarized travel consent letter is to allow your minor child to travel outside of the Country with another person (For Example: Father, Mother, Grandparents, Aunt, Uncle, etc..).  You can obtain a travel consent letter from the airline, cruise ship, travel agency, or you can find a sample online.  Basically, the letter will State that you are giving permission to one or more people to take your child outside of the country.  The letter should include travel dates, your name, the name of the child, the person the child will travel with, the country the child will travel too, passport numbers, and the return date.  You will want to put as much information as possible include airline information.

The travel consent letter will need to be signed and notarized by the person giving permission.  Once the document has been notarized, it can then be mailed in to our apostille office for processing.  You will need to download our apostille order forms and mail in your original notarized document to our office for processing.  We recommend that you find a notary who has at least five years of experience and one who will follow the notarial laws of their state.  Improperly notarized travel consent letters will be rejected by the State causing delays and additional costs.

Question: Do you have a sample of a travel consent letter?

Answer: All airlines and cruise ships can provide you a sample of a travel consent letter.  You can also search online for a sample but please double check that the information you print on the travel consent letter is the information being requested.  The letter should include travel dates, your name, the name of the child, the person the child will travel with, the country the child will travel to, passport numbers, and the return date.  You will want to put as much information as possible include airline information.

New York Birth Certificate Apostille for Israel

Social Security Apostille

Do you need to apostille your Social Security Letter?

The Social Security Benefits and Income Statement is a U.S. Federal Government document issued by the Social Security Administration.  You will be asked to apostille this letter in order to obtain a long term retirement Visa in a foreign country.

In order to obtain this letter, Contact the local Social Security Administration office and mention that you need the Social Security Income and Benefits Statement letter signed by the Acting Commissioner of the Social Security Administration. The letter will bear a facsimile of the signature of the Acting Commissioner which is sufficient for processing. Please note, that if your letter is NOT signed by the Acting Commissioner of the Social Security Administration, it CANNOT be apostilled.

University Diploma Apostille

Do you need to apostille your University diploma?

Before your diploma can receive an apostille from the State,  it must be signed by the University’s Registrar and notarized.  The purpose of the apostille is to prove that your diploma is genuine and can be relied on it’s authenticity.

USA Apostille, Inc. can apostille your diploma for over 115 countries who are members of the Hague Apostille Convention and for over 60 countries who are non-members of the Hague Apostille Convention (Legalization process).  The most common countries we apostille diplomas are for South Korea, Spain, and Italy.  For non-member countries, they include China, Taiwan, Kuwait, Qatar, Saudi Arabia, and the UAE.

Note: In additional to your diploma, you will most likely need to apostille your FBI background check.

Step #1: The first step is to contact the University’s Registrar and inform the Registrar that you will need the original or a color copy of your diploma to be signed and notarized.  The Registrar with either ask you to mail in the original or email a color copy. Some University’s may request that you purchase a new diploma which can take time to reproduce. If the University does not have a notary on staff, a traveling notary can visit the school and meet with the Registrar.  You can search online and arrange for a traveling notary service when it’s convenient for the Registrar.  Note: Most notaries are unfamiliar with authenticating a diploma (apostille) for a foreign country so it’s best to leave the apostille process to us.  The notary must follow the proper notarial laws of their state in order for the state office to authenticate the diploma with an apostille.

Step #2: Once you receive your notarized diploma, go ahead and verify that the diploma has been signed and notarized.  Some schools will sign and notarize the back of the diploma while others have enough space to use the front.  The original signature and the printed name of the Registrar must be on the documents including the notary’s name, signature, date of notarization, notarial wording, and stamp.

An apostille is issued by the Secretary of State’s office and not provided locally.  In order to apostille your document, you will need to mail in the original to our office for processing.

Diploma Apostille

Do you need to apostille your diploma?

If you are planning to work or continue your education in a foreign country, you will need to apostille your diploma and your FBI background check.  In this article, we will focus on how to apostille your diploma.

In order to apostille your diploma, it must be signed and notarized by the Registrar.  The notary will need to meet with the Registrar at the University, College, Trade School, or High School.

We can apostille the following diplomas:

Step #1: The first step is to contact the Registrar at the school and inform the Registrar that you will need the original or a color copy of your diploma to be signed and notarized.  The Registrar with either ask for you to mail in the original or email a color copy. Some schools may request that you purchase a new diploma. If the school does not have a notary on staff, a traveling notary can visit the school and meet with the Registrar.  You can search online and arrange for a local traveling notary service near the school.  Most notaries are unfamiliar with authenticating a diploma for another country so it’s best to leave the apostille process to us.  The notary must follow the proper notarial laws of their State and include the correct notarial wording.

Typically, a diploma can be notarized in several ways:

  1. The Registrar attests to the diploma with a written or typed statement and the notary witnesses the signature of the Registrar.  For example: “I, Jane Doe, Registrar of ACME University, certify that this is a true and original copy of John Walters Master’s diploma”.  In most cases, the notarization is performed on the back of the diploma to allow space for the statement, Registrar’s signature, and the notarization.
  2. The second and less frequent option is for the school to draft a signed and notarized University letterhead with a statement and signature of the Registrar including the notaries seal, signature, and notarial wording.

Please be sure to contact our office as some countries will request the original diploma to be notarized rather than a color copy.  For example, Qatar will request the original diploma to be signed and notarized.
